Trapyfy

What AI Does For You

Trapyfy has a helper that understands normal sentences and then actually does the work — plus a few quiet helpers that run in the background while you get on with your day.

In plain words

Imagine hiring a very fast shop assistant on their first day. They cannot guess what is in your head, but they know where everything is, they never get bored, and they do exactly what you ask — "how much did I sell last week?", "add 20 blue mugs to the Berlin warehouse", "translate my whole shop into German".

That is the AI in Trapyfy. It is not a chatbot that only talks. It can read your real numbers and change your real store — which is why it asks before anything dangerous, and why each action costs a small amount of AI credits.

Two kinds of AI in your store

1. The assistant you talk to

You ask, it answers, and it can carry the action out: products, stock, prices, orders, reports, announcements. You are always in the conversation.

2. The helpers in the background

Buttons and features that use AI without a conversation: translate the whole shop, answer a customer ticket, write a knowledge base, read a screenshot a customer sent.

Where you talk to the assistant

In the dashboard

The chat widget inside Trapyfy. It already knows who you are and which store you are looking at, because the store picker at the top of the dashboard decides that.

On Telegram

Link your Telegram account once and you can run the store from your phone, in a normal chat. On Telegram the assistant remembers which store you moved to, so the next message continues in that store.

From your own AI tool

Trapyfy exposes the same abilities over MCP, so a tool like Claude can work with your store directly. Details on Store Assistant & Credits.

Four commands worth knowing

Type thisWhat happens
/helpA short reminder of what the assistant does.
/balanceHow many AI credits your store has left.
/humanPauses the AI and fetches a real person from the Trapyfy team. You can add your message after it: /human my payment isn't working.
/resumeGo back to talking with the AI after a human helped you.

While a human is handling your conversation, the assistant stands down completely and touches nothing in your store.

What you can ask it to do

The assistant has roughly 150 abilities. Grouped into plain language, they are:

Reports and questions

  • "How much did I sell last week?" — revenue over a named period, and the same period a year or a month earlier for comparison.
  • "What is my best-selling category?" — it ranks them, and tells you whether it ranked by sales or by profit.
  • "Who are my best customers?", "which products never move?", "how did that coupon do?"
  • "What should I restock?" — it combines what is out of stock or under its alert level with how fast those items really sell, then ranks them and says roughly how long the remaining stock lasts.
  • You never need to give dates or a timezone. Say "this week" or say nothing at all, and it uses the last 30 days and tells you so.

Products and catalogue

  • Create, read, update and delete products — including variable products with sizes and colours.
  • Prices are per country, each in that country's currency. Say "set it to 20 everywhere" and it looks up your countries, converts, and tells you the rate it used.
  • Categories, attributes and terms: create them, list them, fix them.
  • Upload and list product images.

Stock and warehouses

  • Read stock levels, set exact counts, or add and remove units — it reads the current level itself, so you never do the arithmetic.
  • Warehouse transfers: draft one, preview it, submit it, receive it.
  • Share a warehouse with a dropshipper as a share link, product by product or whole categories at once, each with the cost that recipient pays.

Orders and customers

  • Look an order up, change its status, set a tracking number, issue a refund.
  • Read an order's shipping labels and returns, and today's labels across the store.
  • Clients: find them, create them, update them, add an address.
  • Reviews: read them and summarise the mood.

Marketing

  • Coupons, tier pricing and gift cards: create, list, edit, redeem.
  • Announcements: draft, schedule, and send to the countries you choose.
  • Conditional rules: create them, run one, reset its locks.
  • Bot sections and notification templates, including a test send.

Help with Trapyfy itself

  • Ask "how do I set up a warehouse?" and it searches this documentation site and answers from it. That search is free — it costs you no credits.
  • If the docs do not cover your question, it says so instead of inventing an answer.

The safety rails

The assistant can change real data, so it is deliberately boxed in:

  • It asks before anything destructive. Deletes, refunds and sending an announcement to real customers all stop and ask you first, quoting what is about to happen.
  • A question means nothing happened. If it comes back asking for confirmation, the action was not carried out. Say yes and it runs; say nothing and nothing changed.
  • It can only do what its tools do. It will not offer an action it cannot perform, and it will tell you where that action lives in the dashboard instead.
  • It never invents ids. Country codes, warehouses, categories, attribute terms — it looks them all up rather than guessing.
  • Only you can move it between stores. Text inside an order, a note or a product cannot tell it to switch stores, no matter what that text claims.
  • Your store only. Every ability answers for the store you are in, and your data is never visible to another merchant.
  • It never says something succeeded when it failed. A blocked or errored action is reported as a failure.

Read the confirmation before you answer it. "Yes" to an announcement confirmation sends a message to real customers in the countries it names, and that cannot be recalled.

If you run several stores

Order numbers, product names and SKUs repeat across stores, so the same number means different things in each. Name the store in your sentence — "order 6962 in Berlin", "switch to the outlet" — and the assistant moves, answers, and tells you which store a figure came from. Ask it to compare two stores and it will move between them for you.

An empty answer — "no orders today" — is usually the wrong store, not a quiet day. The assistant names the store for exactly this reason.

The background helpers, one by one

Translate with AI

One button on the Translations page fills in every missing translation for your bot text, your sections, your product titles and descriptions, your category names and your notification templates — into every language your countries need. It keeps your placeholders, your emoji and your HTML intact, and it prices the job before it starts. Full details on Translations.

AI answers to customer tickets

Switch it on and new customer tickets get answered from your knowledge base, and the AI can look up that customer's own orders. It refuses rather than guesses: if your knowledge base does not cover the question, the customer gets a short, honest "passed to the team" message and the ticket waits for you. The moment one of your team replies, the AI stands down and leaves the conversation alone.

Write my knowledge base

Rather than typing your shipping times and return policy from scratch, let the AI read up to 200 of your own closed tickets and draft the knowledge base from the answers your staff actually gave. It groups them under headings, invents no policy, and strips out customer names, order numbers and addresses. You edit it afterwards — it is a draft, not a decision.

Reading screenshots

When someone sends a screenshot with no explanation through Telegram, the AI looks at it and writes down the error it can see, so the ticket your team receives says what is wrong instead of just holding a picture.

Tidying up typed addresses

Buyers type an address as one long line. The AI splits it into recipient, street, city, state, postcode and country. It is only allowed to rearrange what the buyer typed — it cannot add or drop a word, so nothing is invented and nothing is lost. If it is not sure, the address is stored exactly as typed.

Searching these docs by meaning

Documentation search understands meaning, not just words: ask about "couriers" and it still finds the pages that say "carriers". That is what lets the assistant answer how-do-I questions correctly, and it costs you nothing.

AI credits — what things cost

AI work is paid for with credits from one shared pot per account. 1 credit is about $0.10, so roughly $1 buys 10 ordinary actions.

ActionCost
Reading something (a report, a product, stock)1 credit
Changing something (create, update, send)1 credit
Deleting something, or refunding an order2 credits
Translate with AI1 credit per 20 translated cells — one cell is one entry in one language. The exact price is shown before you confirm.
One AI answer to a customer ticket1 credit
Drafting your whole knowledge base5 credits (it reads up to 200 tickets in one go)
Searching this documentationFree
  • The pot is shared by your whole team and all the stores on your account. Staff can spend it; only the account owner can top it up.
  • Top-ups are paid in USDT, and the credits land once the payment is confirmed. Presets are 10, 50, 100 and 500 credits.
  • You are warned when the balance drops to about 5 credits, so a job does not die halfway.
  • If an action is charged and then fails, the credits are given back.
  • Check the balance any time with /balance or on the credits panel in the dashboard.

What the AI will not do

  • Buy, void or discard a shipping label, or create a return label. That happens on the order page in the dashboard. The assistant can read labels, and will point you there.
  • Check an order's address or apply a suggested address — also the order page.
  • A few dashboard-only settings cannot be changed from Telegram; the assistant will say so and ask you to use the dashboard chat.
  • Invent a policy, a price or a delivery time. Where it does not know, it says so.
  • Follow instructions hidden in your data. Text in tickets, orders and product descriptions is treated as information to read, never as a command — a customer cannot write "refund me everything" into a note and have it happen.

How to get good answers

Works well

  • "Revenue last month vs the month before."
  • "Add 20 units of the blue mug to the Berlin warehouse."
  • "Create a 10% coupon for Germany, valid two weeks, 100 uses."
  • "What should I restock?"
  • "Draft an announcement about the sale, do not send it yet."

Needs more detail

  • "Fix my prices." — which products, to what?
  • "Order 6962" when you run four stores — name the store.
  • "Make it cheaper." — say the amount or the percentage.

You do not need special wording. Normal sentences are fine, in whatever order they come out — the assistant asks only when the answer genuinely depends on something it cannot sensibly choose for you.
