Purchase Orders
A purchase order is your shopping list for a supplier: these products, these quantities, please send them.
In plain words
An order is a customer buying from you. A purchase order is you buying from a supplier. Same idea, opposite direction.
When the boxes arrive, you mark the purchase order complete and the units are added to your stock — so you never type them in by hand.
Where to find it
In the dashboard menu, open Inventory → Purchase orders.

Raise one
- Click New purchase order.
- Pick the supplier. Add them first on the Suppliers page if they are not in the list.
- Add the products and quantities you want.
- Add a note if there is anything the supplier should know.
- Send it. The order starts its life and you can follow it from the list.
The three states
| Status | What it means |
|---|---|
| Draft | Still yours to change. Nothing has gone anywhere, and a draft is the only state you can delete. |
| Pending | Sent, waiting on the supplier. Your stock has not changed yet. |
| Completed | The goods arrived and you pressed Complete. The received units were applied to your stock. |
Only press Complete once the boxes are physically there and counted. Completing early adds stock you cannot ship.
Working the list
- Filter to Draft, Pending or Completed, and combine that with the search box to find one fast.
- Search by supplier or by note; sort and paginate as you like.
- Click an order key to open it.
- The row menu completes an order, exports it to XLSX or PDF, or deletes it while it is still a draft.
