Notification Templates
The e-mail and in-app messages Trapyfy sends when something happens to an order, a payment, a ticket or a review. You write the wording once per event, per audience, per country.
In plain words
These are the messages your shop sends by itself: order confirmed, payment received, parcel on its way. A template is the wording for one of those moments, with placeholders where the real details get dropped in.
Open Notifications in the dashboard sidebar. Each row is one template: an event type, who it goes to, which countries it covers, and the subject line. Templates are scoped by role and by country, so the same event can read differently for your team and for customers, and differently in each market.
Type
The event the template is sent for, colour-coded like the orders table.
Role
Who receives it: User (the customer) or Admin (your team).
Countries
The countries the template applies to, shown as flags.
Subject
The e-mail subject line, placeholders included.
Creating a template
Click New Template. Five fields, all required:
Notification Type
The event this template is for. One template per type, role and country combination.
Recipient Role
User sends it to the customer; Admin sends it to your team.
Countries
The countries this wording applies to. Pick several to reuse one template across markets; create another for a market that needs its own language.
Email Subject
The subject line. Placeholders work here too.
Body
The message, written in the rich-text editor. Click a placeholder in the list beside the editor to copy it, then paste it where the value should appear.
Notification types
| Type | Sent when |
|---|---|
| New orders | An order has been placed. |
| Pending payments | An order is waiting for payment. |
| Paid orders | Payment has been confirmed. |
| Completed orders | The order has been fulfilled and closed. |
| Cancelled orders | The order was cancelled. |
| Refunded orders | A refund has been issued. |
| Partially paid orders | Part of the amount has arrived (crypto orders). |
| Ticket created | A customer has opened a support ticket. |
| Ticket replied | A ticket has a new reply. |
| Order messages | A message has been sent on an order. |
| Review reminder | A reminder to review the order. |
| Product review reminder | A reminder to rate the products in the order. |
Placeholders
A placeholder is replaced with the real value when the message is sent. Use the ones that match the event; an order placeholder in a ticket template has nothing to fill it with.
Order
| {username} | The customer's name or username, when available. |
| {product_list} | The order's product list. Hidden in e-mails for privacy; shown on the order details page and in the Telegram message. |
| {order_number} | The order number. |
| {order_date} | The order date. |
| {order_shipping_method} | The shipping method chosen. |
| {shipping_address} | The shipping address. |
| {tracking_number} | The tracking number, as a link. |
| {tracking_url} | A direct link to the carrier's tracking page. |
| {shipping_company} | The shipping company. |
| {carrier_name} | The carrier assigned when tracking was added. |
| {giftcard_codes} | The gift card code, when the order contains a gift card. |
Crypto (Niftipay)
| {expected_amt} | The crypto amount expected. |
| {received_amt} | The crypto amount received. |
| {pending_amt} | The crypto amount still pending. |
| {asset} | The crypto asset. |
Support tickets
| {ticket_number} | The ticket number. |
| {ticket_content} | The ticket message. |
Review reminders
| {orderKey} | The order number the reminder is about. |
| {reviewUrl} | A Telegram deep link to leave a review. Place it yourself and the automatic button is skipped; leave it out and a Leave a review button is appended for you. |
Privacy. In e-mails, {product_list} is left out on purpose. The customer sees their items on the order details page and in the Telegram message instead.
Support tickets. The Ticket created and Ticket replied types pair with the ticketing setup described in Customer Tickets. Announcements to many customers at once are a separate feature: Announcements.
